Out-of-office vacation voicemail examples for business owners

A good vacation voicemail gives the return date, a real urgent path, and a callback window. Vague out-of-office greetings create more calls and more frustrated customers.

A good out-of-office voicemail gives your exact return date, a real alternate contact for urgent issues, and a callback window. A vague "I am away" greeting creates more calls because nobody knows what to do next.

Use these scripts when you truly want voicemail to hold the line while you are out. If the business still needs to book work while you are gone, use live coverage instead.

Short vacation script

"You reached Sun Valley Landscaping. We are out of the office through Friday, July 17 and return Monday, July 20. Leave your name, number, property address, and request. We will return calls when we reopen."

This works for a short break where there is no urgent service path. The return date is the most important part.

Vacation with urgent backup

"You reached Sun Valley Landscaping. We are closed through Friday, July 17. For urgent irrigation leaks, text this number with the word urgent and a photo if possible. For everything else, leave your name, number, and address. We return Monday, July 20."

Only promise an urgent path if someone really checks it. A fake urgent path is worse than no urgent path.

Business trip or conference script

"You reached Pedro with TaskChad. I am at an off-site event through Thursday and checking messages once each afternoon. Leave your name, number, business name, and what you need. I will respond by the next business day."

This tells the caller the business is still operating, but response time is slower.

Holiday closure script

"Thank you for calling Greenline Roofing. We are closed for the holiday and reopen Monday at 8 a.m. Leave your name, number, address, and reason for calling. We will return messages when the office reopens."

Holiday messages should be short. The caller mostly cares whether someone will answer today.

The better option when calls are revenue

If a vacation means the phone goes dark, the break can cost more than the trip. That is especially true for service businesses where the caller wants a quote, appointment, or repair now.

A live AI receptionist can answer, collect the request, book allowed calls, and send you a summary while you are away. If you only need a cleaner greeting, use the scripts. If you need the business to keep capturing leads, start with a free audit and map the vacation coverage before you leave.

Frequently asked questions

What should an out-of-office voicemail include?

It should include your return date, whether messages are monitored, who to contact for urgent issues, and when callers can expect a response.

Should I say I am on vacation?

You can, but you do not need to share personal details. It is usually enough to say the office is closed or you are away until a specific date.

What is the biggest out-of-office voicemail mistake?

The biggest mistake is giving no urgent backup path, which makes urgent callers leave multiple messages or call competitors.
